How to link Agents for Agent Commission Report

You have the ability to link an Agent to an Asset for Commission reporting purposes.  If an Agent is linked on the Mandate of your Asset, the Agent Commission Report will reflect either the % or Rand amount due to the Agent.  

The Agent HAS TO be LINKED at the point of making the payment in respect of Commission.  This is to ensure that when you export the report, the Agent that was linked to the Asset at the point in time of the payment will be linked on the report.

To link an Agent to an Asset:

  • Navigate to Portfolio Data
  • Select Assets
  • Click on View to navigate into the Asset Overview
  • Select the Mandate tab on the left side

  • Scroll down to the Agents at the bottom of the page
  • Click on the Add Agent button

  • The Agent User must exist in the system in order to be linked for reporting
  • Specify the Agent Type (Placement / Procurement / Management). This is especially important and should correspond with the commission category you are using in the Landlord Expense Account:
  1. Management agent type - use the commission - Rent category in the account 
  2. Procurement agent type = use the commission - procurement category
  3. Placement agent type - use the commission - placement type. 

  • Specify the % or Rand amount that is due to the Agent e.g. 30% of the 8% company commission, or 50% to the agent of the 10% you are taking. The percentage you fill in here is the percentage portion of the commission that you are taking - not a percentage of the total rent. 

Agent Commission Report:

  • Navigate to Reports -> Compliance/Business Reports
  • On the Agent Commission Report, specify the dates for which you wish to export the report
