Creating and Managing Users

User Management is a very important function that is required to ensure that only authorised users have access to the features of the system.
For the purposes of managing user access effectively, WeconnectU allows you to create a User Profile for every user registered on the system. The user profile have associated permissions that can can be enabled / disabled by the user having user management permissions.
To facilitate this process, we have pre-defined certain sets of permissions and allocated the sets to roles in WeconnectU. When you register a user and select a role, the default permission set for the role is applied which can then be further customised. The following Roles are available:
- Account Holder - when the company is first registered, the system will create an Account Holder user that will have all Permissions enabled including the permission to register additional users on the system and to customise their permission sets.
- Agent - an agent user will typically have access to work with Portfolio data and Leases
- Administrator - an administrator user will typically have all the agent permissions plus permissions associated with Accounts, Billing and Payment Processing
- Manager - a manager user will typically have all the administrator permissions plus permissions associated with Company settings and Reporting
To access the User Management feature, select Company Setting from the user portfolio drop down. Navigate to the Users tab to display a list of the existing registered users shown below:
Portfolios
This section displays the Company Portfolios that has been setup. Use the switches to select the Portfolios that the user should have access to. In the example below the use will only have access to the Test Run 2 Portfolio.
Mailboxes
This section displays the Company Mailboxes that has been setup. Use the switches to select the Mailboxes that the user should be able to access. In the example below, the user have access to both mailboxes.
Permissions
This section displays the default permissions that has been enabled for the selected user role. You can customise the default permission set by ticking / unticking the relevant permission boxes as shown below. Remember to click the Save button to save the update permission set.
Company Setup permissions
These permissions are used to manage access to Company Level settings and defaults and are typically applicable to users with Management Roles in the organisation.

Portfolio Data permissions
These permissions are used to manage access to Portfolio Data and are typically applicable to users with Agent and Administrator Roles in the organisation. Portfolio Data includes Asset Groups, Assets, Contacts and Beneficiaries.

Leases permissions
These permissions are used to manage access to Lease Data and Features and are typically applicable to users with Agent and Administrator Roles in the organisation.
The "Manage Leases" permission includes access to Create, Renew and Exit Leases. The "Change Lease After Finalization" permission enables the User to Edit the Lease details after it has been Finalized.

Accounts permissions
These permissions are used to manage access to Accounts Data and Features and are typically applicable to users with Account Administrator Roles in the organisation.

Billing permissions
These permissions are used to manage access to the Billing Processes and are typically applicable to users with Account Administrator Roles in the organisation.

Payments permissions
These permissions are used to manage access to the Payment Processes and are typically applicable to users with Account Administrator Roles in the organisation.
The "Allocate and Approve Payments" permission is unticked by default, as this combined the two-step process into a single process for Allocate/Approve.

Reporting permissions
These permissions are used to manage access to the Reporting Processes and are typically applicable to users with Management and Administrator Roles in the organisation.
User needing the ability to export Assets, Leases and Arrears data should have the "Export Portfolio Data" permission.
