Manual Billing Processes

The system provides features to assist with manual billing on Tenant and Landlord Expense Accounts. The following types of manual billing are provided for:

  • Billing of Deposits
  • Billing of Lease Fees
  • Billing of any non-recurring invoices such as pro-rata rent or fines for example
  • Billing of Maintenance invoices

Billing of Deposits

  • On any Tenant Account, you can select the Bill Deposit option from the Options drop-down menu as shown below:

  • The system will fetch the Deposit information from the Lease and open a form where you can review and edit the deposit values. See example below:

  • Click Bill Deposits to bill the Deposits to the Tenant Account against the Deposit Category. Note that the system will create one transaction for every type of deposit. See example below:

Billing of Lease Fees

  • On any Tenant Account, you can select the Bill Lease Fees option from the Options drop down menu as shown below:

  • The system will fetch the Lease Fee amount from the Company Settings and open a transaction form with values pre-populated where you can review and edit the transaction detail. See example below

  • Click Create to bill the Lease Fee against the Admin category on the Tenant Account. See example below.

Billing of non-recurring invoices

  • On the Tenant Account click the Add Transaction link to open the Transaction form.
  • Complete the fields on the form and click Create to create the transaction. Alternatively, if you want to upload a source document for the transaction, click the Create then upload document option from the Create drop down. See example below of the form.

  • You can also use the Add Transaction link on the Landlord Expense account to bill any non-recurring expenses to the Landlord Expense Account using the same form and process as described above for billing against the Tenant account.
